Administrative Assistant to the Executive Dean of Student Services

POSITION SUMMARY:  
This position is responsible for assisting the Executive Dean in the coordination and performance of all Student Affairs activities and functions.  This position helps to ensure the effective and efficient operation of the office environment of the Student Services division on a daily basis.  Specific duties include, but are not limited to:  

ESSENTIAL RESPONSIBILITIES: 
1.    Assist the Executive Dean in the coordination and performance of all Student Services activities and functions.
2.    Assist with processing personnel evaluation documentation and maintaining other confidential information.
3.    Perform duties such as operating copy and fax machines, word processing, answering the phone, scheduling appointments, maintaining office files, and data entry.
4.    Assist the Executive Dean in student-related research.
5.    Initiate annually scheduled activities and events such as but not limited to Honors Night, Graduation, etc.
6.    Assist with processing and submission of institutional, state, and federal reports.
7.    Process routine correspondence with other institutions, colleges, universities, organizations, and state/federal entities.
8.    Assist with planning the student activities calendar with the Student Activities Coordinator.
9.    Perform other duties as assigned by the college.

EDUCATION:  Associate Degree from a regionally accredited higher education institution.

QUALIFICATIONS:  A minimum of two years of experience in an office setting with effective organizational and communication skills.

COMMUNICATIONS SKILLS:
Excellent organizational, written and verbal communications, analytical, interpersonal skills, attention to details, and deadlines with excellent follow-up skills are needed to be successful in this position.  Ability to read and interpret budget and financial documents, manuals, procedure reports, and/or ability required. Ability to maintain confidentiality.

REASONING ABILITIES:
Ability to solve practical problems and deal with a variety of concrete variables in situations where standards are required and must be maintained.

CERTIFICATES, LICENSES, REGISTRATIONS:
Valid driver’s license.

The employee must occasionally lift and/ or remove up to 25 pounds.  Specific vision abilities required by this include distance vision, peripheral vision, and depth perception.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes or airborne particles and outside weather conditions.  The noise level in the work environment is usually moderate to high.

Salary

$25,000 with benefits that include health, life, vacation and sick paid time off, as well as paid holidays.
